How to Create an Accountant’s Copy to Send to an Accountant

An accountant’s copy is sort of your company file which can be used by your accountant to make changes while you continue to work. Once your accountant is done, he/she will send you a file that you’ve imported into your company file.

Method 1You can create an accountant’s copy file and send it without using the file transfer service

Step 1: In QuickBooks Enterprise Solutions and Advanced Inventory (AI), first, you have to disable AI and after that create an accountant’s copy or import any changes.

Step 2: Go to File, select Accountant’s Copy, and click Save File.

Note: In QuickBooks Accountant and the QuickBooks Enterprise Solutions Accountant, go to File menu and then click Client Activities to save the file.

Step 3: Choose Accountant’s Copy and click Next.

Step 4: Now set the dividing date

Note: Make sure you’ve coordinated with your accountant before selecting this date.

Step 5: Now click on Next.

Step 6: Choose a location to save your file and click on Save.

Step 7: Now give the Accountant’s copy transfer .qbx file to your accountant through email or by any digital media such as flash drive, CD etc.

Step 8: Now you can continue working.

Method 2You can send an accountant’s copy file by using file transfer service:

In QuickBooks Enterprise Solutions and Advanced Inventory (AI), first, you have to disable AI and then create an accountant’s copy or import any changes.

Note: The accountant will have around two weeks to download the accountant’s copy from the email send by you. However, once the file is downloaded, the accountant and you can take as much time as you both agree on in order to work on the file and receive it back.

Step 1: In the File menu, click Accountant’s Copy, and then choose Send to Accountant.

Note: In QuickBooks Accountant and the QuickBooks Enterprise Solutions Accountant, go to File menu and then click Client Activities to send to the accountant.

Step 2: Now click Next to confirm the accountant’s copy.

Step 3: Now set the dividing date and make sure you’ve coordinated with your accountant before choosing the date.

Step 4: Click on Next.

Step 5: Type the accountant’s e-mail address.

Step 6: Now retype the accountant’s e-mail address.

Step 7: Enter your name and your e-mail address.

Step 8: Click on Next button.

Step 9: Now create the file transfer password to encrypt the file for security purpose and provide it to your accountant separately.

Step 10: Re-enter your password.

Step 11: Enter any notes in your accountant.

Step 12: Click on the Send button.

In QuickBooks Enterprise Solutions and the Advanced Inventory (AI), first you have to disable AI and then create an accountant’s copy or import any changes:

Step 1: In Enterprise, Switch to Single User.

Step 2: Go to Edit menu and click Preferences and select Items & Inventory.

Step 3: Select the Company Preferences tab.

Step 4: Click on the Advanced Inventory Settings button.

Step 5: Uncheck everything which is checked. You can write which items you have checked so you can remember which are have to check later.

Step 6: Now create the Accountant’s Copy.

Step 7: Go to Edit menu and click Preferences and select Items & Inventory.

Step 8: Click on Company Preferences tab.

Step 9: Select the Advanced Inventory Settings button.

Step 10: Now check the unchecked items.

Step 11: Now repeat these steps while importing the Accountant change file.

Note: If you’ve sent an accountant’s copy to your accountant and they didn’t get it or if you want to re-send it for any other reason, so you have to remove the restrictions from your company file and then follow the above steps – To send an Accountant’s Copy file again.
